Costa Navarino is seeking a Groups & Events Assistant Manager to support the performance and daily operations of the Groups & Events department of The Romanos, a Luxury Collection Resort and The Westin, Costa Navarino . The role reports to the Groups & Events Manager and Director and focuses on ensuring compliance with established procedures and brand standards, while maintaining a strong focus on guest satisfaction, associate engagement, and team collaboration. The selected candidate will support team knowledge of hotel services, systems, and procedures, contribute to a positive and service-driven working environment, and provide feedback and recognition to team members. The role also involves ensuring the accuracy of data within hotel systems, including forecasts, budgets, and departmental productivity, while managing groups and events of average complexity.
Responsibilities
Event Coordination & Execution
- Manage group room blocks, meeting spaces, and events of medium to large size, ensuring seamless execution and operational accuracy.
- Coordinate and communicate event details with clients and internal teams, maintaining a visible presence during events.
- Identify and resolve operational challenges, using judgment to propose effective solutions.
- Ensure billing accuracy and review final bills with clients prior to processing.
Client Experience & Service Excellence
- Deliver professional, timely, and client-focused communication to guests, agencies, and meeting planners.
- Support on-site event execution, handling last-minute changes or challenges to maintain high guest satisfaction.
- Use expertise and personal judgment to enhance the customer experience.
Revenue & Upselling Support
- Identify upselling opportunities and propose enhancements to clients.
- Support the Groups & Events Manager in driving additional revenue through F&B upgrades, meeting space optimization, and value-added services.
- Encourage a proactive upselling mindset within the team.
Team Leadership & Development
- Support, motivate, coach, and train Groups & Events Coordinators/Executives.
- Lead by example in professionalism, service delivery, and commercial awareness.
- Act as a role model and point of reference in the absence of the Groups & Events Manager.
Administration & Reporting
- Maintain accurate documentation, event records, and reports on group/event performance and upselling results.
- Assist in preparation and distribution of Banquet Event Orders (BEOs) and pre-/post-event meeting notes.
- Ensure compliance with hotel policies, SOPs, and brand standards, guiding the team accordingly.
Requirements
- Minimum of 2 years’ experience in the travel, tourism, or hotel service sector.
- At least 2 years of supervisory experience in hospitality; experience in Groups & Events Management is a plus.
- Bachelor’s degree (BA/BSc) in Business, Hospitality, or a related field.
- Proven ability to manage and lead a team, with strong delegation and supervisory skills.
- Excellent communication and interpersonal skills; fluency in English and Greek required, additional languages a plus.
- Strong organizational, multitasking, and administrative abilities with attention to detail.
- Proficiency in Microsoft Office and hotel systems, including Opera PMS.
- Client-focused mindset with strong customer awareness, commitment to service excellence, and awareness of revenue opportunities (F&B, room blocks, meetings).
- Ability to work under pressure, adapt to a variety of situations, collaborate effectively in a multinational team, and manage occasional crisis situations (health, safety, or security) following procedures.
- Proactive, solution-oriented, and open to continuous improvement.
