The Conferences and Events Coordinator is supervised by the Sales Director, in managing various aspects of groups conferences and special events.
The responsibilities of the position include, but are not limited to:
- Maintain and update forecasts for conferences and other events.
- Organize events such as familiarization trips and other, aiming at promoting HotelBrain Group and Kos International Convention Center.
- Make logistical and administrative arrangements for confirmed groups and conference.
- Respond to the needs and requests of conference participants at all times.
- Enforce applicable company’s regulations and policies.
- Correspondence of the bids and the drafting of the contracts.
- Coordinate all logistical and operational aspects of weddings and social events, including communication with clients, preparation of function sheets, liaison with internal departments, and on-site supervision to ensure smooth execution.
Qualification requirements:
- Conferences & Events Coordinator is expected to work effectively with a diverse range of individuals and groups.
- He/She should be effective communicator and trouble-shooter, enthusiastic, self-motivated, adaptable, able to delegate and complete assigned tasks, and must possess a strong sense of responsibility. The ability to be diplomatic is essential.
Some of the required qualifications are:
- Sound past experience in similar role in large scale hotels/conference centers/companies.
- Hospitality or Travel and Tourism diploma.
- Good knowledge of the conference market.
- Excellent organizing and managerial skills.
Excellent knowledge of the English language, both verbally and in writing, second fluent language is preferable.
