- Minimum 3 years of experience in purchasing, warehouse management, or procurement, preferably in hospitality or a similar sector.
- High school diploma or equivalent required; a degree or certificate in supply chain management, logistics, or related fields is a plus.
- Solid understanding of inventory management and procurement processes.
- Proficient in using ERP/Store systems (e.g., MICROS Material Control) and basic Excel for reporting and tracking.
Purchasing
- Collect and verify requests/orders from departments, ensuring they are approved, complete, and in line with policy.
- Issue and track Purchase Orders (POs) and confirm prices, payment terms, delivery times, and specifications.
- Coordinate with suppliers regarding availability, delivery schedules, substitutions, and urgent needs.
- Resolve discrepancies (price/quantity/specifications) and take corrective actions (credit notes, returns, replacements).
- Support negotiation and comparison of price quotations when required and maintain supplier and agreement records.
Receiving
- Supervise the receiving process: check quantities, quality, temperatures (where applicable), and match them with POs and delivery notes/invoices.
- Ensure proper registration of receipts in the system and proper documentation (invoices, signatures, discrepancies).
- Implement HACCP procedures and health/safety standards during receipt and storage.
Warehouse
- Ensure the warehouse operates with the correct layout, cleanliness, labeling, and safety measures.
- Implement FIFO/FEFO practices, ensuring correct storage conditions (dry, refrigeration, freezing).
- Supervise the issuing of materials to departments, ensuring accurate cost allocation and timely supply.
- Monitor min/max levels, reorder points, and recommend purchases to prevent stock-outs or overstocking.
- Participate in cycle counts and monthly/yearly inventories, investigate discrepancies, and document justifications.
Compliance & Controls
- Enforce Purchasing & Receiving Policies, as well as internal controls (segregation of duties, approvals).
- Monitor key performance indicators such as stock variances, slow-moving items, wastage, and non-compliance, suggesting corrective actions.
- Ensure that prices, units of measurement, and codes are accurate and up-to-date in the system.
- Comply with HACCP, safety regulations (PPE), and proper handling of goods (especially food-related products).
Teamwork & Communication
- Collaborate with departments such as Chef, F&B, Housekeeping, Engineering, and Finance for needs and scheduling.
- Maintain positive and professional communication with all departments and suppliers.
- Train warehouse/receiving staff on procedures, safety, proper system use, and standards.
