Based at Mandarin Oriental, Costa Navarino within the Room Division Department in Pylos, Messenia, Greece, the Front Office Agent will be responsible for providing exceptional guest service from arrival to departure, ensuring a smooth and personalized experience in accordance with Legendary Quality Experiences. This role includes handling check-ins, check-outs, and guest inquiries while maintaining accuracy in billing and communication across departments. The Front Office Agent reports to the Front of House Manager.
As Front Office Agent, you will be responsible for the following duties:
- Provide courteous, efficient service and ensure guest satisfaction from arrival to departure in line with MOHG Legendary Quality Experiences (LQEs) and Forbes standards.
- Welcome and register guests promptly, ensuring a smooth arrival experience and escorting them to their rooms when necessary.
- Address guest preferences and special requests as noted in guest profiles.
- Coordinate with Guest Experience, Housekeeping, Reservations, and other departments to deliver seamless guest service.
- Have an accurate overview and organization of daily check-ins and next-day arrivals.
- Have an accurate overview and organization of daily check-outs and next-day departures.
- Handle guest billing, invoices and payments in compliance with Greek law and hotel policies.
- Verify credit card authorizations for all in-house guests. Monitor and follow up on inactive guest accounts with outstanding balances in accordance with Hotel’s policies.
- Manage guest correspondence, including messages, mail, and phone calls.
- Maintain thorough knowledge of hotel facilities, services, and promotions.
- Support colleagues and demonstrate teamwork to ensure service excellence.
- Perform other reasonable duties assigned by management.
As Front Office Agent, we expect from you:
- Valid EU Passport or Hellenic Residence Permit.
- Minimum 2-year experience in the luxury hospitality industry in the same or similar position.
- Proficiency in English, with an additional language preferred.
- Strong organizational and time management skills maintaining attention to detail.
- Good computer skills. HMS, Alliants or Alice knowledge is preferred.
- Charming and outgoing personality with elegant manners and excellent communication skills.
- Brilliant teamwork skills and attitude.
- Be available for night shifts, weekends and public holidays.
- Driving license is required.
