Rooms Division Manager

At Kariera Recruitment Services, we are seeking a Rooms Division Manager for a 5-star luxury resort in Kos.

The role oversees all areas related to guest accommodation and services, including the Front Office & Reservations, Housekeeping, Laundry, conference rooms, and back-of-house support areas. The Rooms Division Manager ensures smooth daily operations, exceptional guest service, and adherence to quality, hygiene, and safety standards. The ideal candidate is a strong leader with excellent organizational, administrative, and financial management skills.

Key Responsibilities:

  •  Manage and support the daily operations of the Front Office & Reservations, Housekeeping, and laundry departments.
  • Ensure full knowledge and compliance with the hotel’s operational standards and general code of conduct.
  • Apply and adhere to all procedures related to the company’s Quality, Hygiene, Safety, and Environmental Management Systems.
  • Ensure compliance with health and safety regulations across all work areas.
  • Train, guide, and supervise employees in the Front Office & Reservations, Housekeeping, and laundry departments.
  • Inspect the operational condition of guest rooms in cooperation with the Executive Housekeeper.
  • Review and approve work schedules of the Front Office, Housekeeping, and laundry teams to ensure productivity and alignment with operational needs and budget requirements.
  • Supervise the reservations process and confirm the accurate recording and handling of all bookings by the department responsible.
  • Prepare and communicate the weekly occupancy forecast to the General Manager, department heads, and supervisors.
  • Verify and ensure compliance with the company’s credit and discount policies applied to travel agencies and tour operators.
  • Oversee proper room allocation based on room types, guest numbers, arrivals, departures, and specific guest preferences.
  • Monitor guest activity (individual and group arrivals, stays, changes, and departures), plan and coordinate tasks, and inform the F&B departments accordingly.
  • Communicate directly with guests to resolve problems and handle complaints that cannot be settled by subordinates.
  • Inform relevant department heads and supervisors about VIP arrivals, repeat guests, and special requests or preferences.
  • Define and approve guest offers in cooperation with the General Manager, the Food & Beverage Director, and the PR Manager.
  • Review and monitor all offers and complimentary services extended to guests.
  • Oversee the management of guest accounts and verify the Night Auditor’s work (daily closing procedures).
  • Conduct guided tours (info groups) within the hotel, presenting its services and facilities.
  • Organize and conduct meetings with the supervisors and staff of the Front Office & Reservations, Housekeeping, and laundry departments.
  • Participate in the performance evaluation process of staff within these departments.
  • Attend training programs organized by the company.
  • Monitor maintenance and repair work in guest rooms in cooperation with the Technical Services Director.
  • Collaborate with department supervisors and the HR Director for staff selection, training, and development.

Qualifications:

  • Degree in Tourism or Hospitality Management.
  • Minimum 2 years in a similar managerial role.
  • Excellent English; German is a plus.
  • Strong computer skills and familiarity with data management tools.
  • Excellent leadership, organizational, and financial skills.
