F&B Admin - Bagatelle Athens

Job Summary

The F&B Admin is responsible for the accurate receipt, storage, issuance, and documentation of all Food & Beverage items. This role ensures that all deliveries meet company standards and specifications, inventory is properly managed, and records are accurately maintained. The position supports the Food & Beverage department in maintaining stock integrity, minimizing waste, and ensuring smooth operations through effective administrative and storekeeping practices.

Key Duties and Responsibilities

Receiving & Inspection:

  • Verify and receive all incoming F&B deliveries against purchase orders and invoices.
  • Inspect products for quality, quantity, temperature, and compliance with health and safety standards.
  • Report discrepancies or damages to suppliers and relevant departments.

Inventory & Storage Management:

  • Organize, label, and store all goods in designated storage areas (dry, chilled, and frozen).

Issuance & Documentation:

  • Process purchase requisitions and ensure timely issuance of F&B items to various outlets.
  • Maintain accurate documentation of stock movements (receiving, transfers, issuance, returns).
  • Assist in monthly and quarterly stock counts.

Administrative Support:

  • Prepare receiving reports and update records in the inventory system.
  • Ensure all supplier invoices and delivery notes are properly filed and submitted to inventory software.
  • Support the F&B team in procurement follow-ups and liaising with suppliers as needed.

Compliance & Safety:

  • Maintain cleanliness, organization, and security of storerooms and receiving areas.
  • Follow hotel/company policies on hygiene, safety, and workplace practices.
  • Ensure proper handling of perishable and non-perishable items in line with food safety standards

Skills, Experience & Educational Requirements

  • Diploma or certificate in Hospitality, Business Administration, or related field preferred.
  • Minimum 1–2 years of experience in storekeeping, receiving, or F&B administration.
  • Knowledge of inventory systems and procedures (SAP).
  • Strong organizational skills with attention to detail and accuracy.
  • Basic knowledge of HACCP, food safety, and storage guidelines.
  • Good communication and teamwork skills.
  • Ability to lift, move, and organize stock as required.
