Overview of the Role
The Project Manager (PMO Coordinator) (Ref. PM-VA-PM-004) will join our team with an independent contractor agreement in an exciting period of change and growth for our business. As a Project Manager, you will be part of our established Project Management Office (PMO) and you will be called to support the PMO coordination, in the provision of Project and Program Management Consulting Services in our growing portfolio of infrastructure and other projects.
Key Responsibilities
- Reports to the Managing Director-PMO Director, assisting him in the management of his duties by overseeing all PMO work and daily interactions, promoting PMO Team development by way of an active coordination and efficiency, for the successful on-scope, on-time and on-budget completion of the Program and/or individual Projects.
- Provides crucial support for PMO activities across multiple large-scale projects. This includes overseeing project planning, scheduling, deliverable reviews, quality control, risk analysis, monitoring, controlling, status reporting, and closure.
- Contributes to the development, monitoring, and updating of time schedules to ensure alignment with project objectives and deadlines.
- Monitors and tracks project progress by collecting actual data and comparing it with scheduled baselines.
- Contributes to monitoring and controlling Project Progress KPIs.
- Monitors the performance and progress of engineering teams and subcontractors, offering insights to optimizing efficiency, whilst addressing challenges effectively.
- Prepares and organizes and actively participates in project meetings. Maintains thorough meeting Minutes, documenting discussions and noting action items.
- Coordinates project teams and facilitates effective communication with key stakeholders.
- Administers project correspondence and maintains organized records for reference. • Tracks project activities and delivers regular and timely management reports and presentations on project status.
- Prepares budget histograms, tables, curves, and resource logs for project controls during execution phases.
- Develops Planned versus Actual progress charts, reports on deviations from the baseline, and analyzes them.
- Supports and/or undertakes contract management.
- Revises control baselines with agreed changes, follows up on actions, and ensures compliance with project reporting requirements.
- Assists in document management processes, ensuring proper organization, storage, and accessibility of project-related documents.
- Produces comprehensive reports on project information, including Earned Value Management, budget status, forecasts, and cost commitments.
- Supports the preparation of Change Requests and Change Orders. Maintains the Change Order
log and records for significant events related to contractual claims and obligations.
- Assists in evaluating Contractor claims and provides insights and documentation for decisionmaking.
- Supports Contract Management administration and ensures compliance with contractual
obligations.
- Gathers project information and ensures mandatory documents and sign-offs are uploaded for
accurate tracking and audit purposes. Sets up and maintains all project information within the
system.
- Collects all necessary data and information for future development of the company’s database.
- Properly files the project close-out report upon project completion.
Qualifications and Experience
- Master’s or Bachelor’s Degree, preferably in any Engineering Discipline and Member of the
Technical Chamber of Greece (TEE) and/or Business Administration.
- 5+ years of experience in Project & Construction Management preferably in large-scale
construction projects.
- Thorough knowledge of engineering, procurement, contracts, construction, and startup work
processes.
- Thorough understanding of Earned Value Management (EVM) terminology and practice.
- Proficiency in MS Office Suite (specifically Excel & PowerPoint).
- Native Greek speaker and fluency in English (both written and spoken) is essential.
- Strong communication and interpersonal skills.
- Self-disciplined with good time management skills.
- Motivated with a team-oriented personality.
- Analytical thinker.
- Experience with MS-Project or Primavera will be considered an asset.
- Experience in working with multi-cultural project teams is desired and will be considered an asset.
- PMP certification will be considered an asset.
