About the role
We are looking for a Bid Management Assistant to support our operations in the management of public bids/tenders for international organizations (EU institutions, UN bodies, NGOs, public-sector entities).
This role sits at the intersection of commercial coordination, operational follow-up, and multilingual communication, offering hands-on exposure to high-level institutional procurement and long-term client relationships.
The ideal candidate does not necessarily need prior experience in bid management. We are open to early-career profiles or recent graduates, provided they demonstrate the required educational background, strong language skills, analytical mindset, and organisational abilities. Curiosity, reliability, and the capacity to learn quickly in a structured, deadline-driven environment are considered as important as previous professional experience.
Key responsibilities
- Assist in the preparation, coordination, and submission of public tenders (EU, UN, NGOs, public bodies)
- Draft and review bid content in English and French (German or Dutch is a plus)
- Coordinate internally with production and finance
- Track deadlines, clarifications, amendments, and compliance requirements
- Maintain bid documentation, templates, and submission records
- Support the other members of the team in day-to-day operational tasks
Education
- University degree preferably in Physics, Engineering, Business Administration, Economics or related
- Advanced (C1) or Proficiency (C2) diploma in English and DALF C1 or DALF C2 in French
Skills & experience
- Excellent command of MS Office, particularly Word and Excel
- Organizational and coordination skills
- Ability to manage multiple deadlines in a structured environment
- High attention to detail and compliance requirements
Assets
- Experience with public procurement or tenders is desirable but not essential
- Additional languages (German, Dutch)
- Knowledge of the translation/localization industry
