W Costa Navarino is looking for a Welcome Desk Coordinator. The Welcome Desk Coordinator supports the smooth and efficient daily operation of the Welcome Office by coordinating arrivals and departures, maintaining communication across departments, managing reporting and guest-related systems and ensuring all brand standards are upheld. The role serves as a key liaison between the Welcome Desk, Operations and other departments, promoting seamless guest experiences and consistent service excellence.
Responsibilities
- Have a thorough overview of the day’s arrivals, departures, room status, pending tasks.
- Coordinate and communicate proactively with multiple departments to align goals, streamline processes and resolve any operational issues promptly, ensuring smooth daily operation.
- Responsible for managing GXP (Marriott Global Source) operations, maintaining accurate tracking of cases and ensuring timely follow-up to resolve issues and support smooth business processes.
- Monitor and respond to emails promptly and professionally, ensuring clear communication and timely resolution of inquiries.
- Monitor and report on Bonvoy enrollments and progress toward goals, support training and scripting for Front Office upsells and Bonvoy pitches and track elite guest recognition efforts to ensure compliance with brand standards.
- Collaborate with other departments to drive in-house guest spend by coordinating promotions for restaurant reservations, private events, and F&B experiences, while tracking booking data and guest segments, and providing weekly reports on guest conversion into sales.
- Submit consolidated weekly reports encompassing VIP inspections (timeliness, misses, feedback), GXP updates and segment analysis, Bonvoy enrollments and elite treatment tracking, upsell and room sales performance, restaurant/event guest sales impact, and the status of open project tasks and completions
- Ensure the daily distribution of the VIP guest lists to all departments, monitor arrival times, preferences and re-arrival communications, verify rooms are inspected on time and oversee timely and accurate updates of guest profiles in GXP and PMS System.
- Support Welcome Desk leaderships with daily briefings, sharing insights on arrivals, priorities, risks and service focus points to drive operational alignment.
Requirements
- Minimum of 1 year of experience in the hospitality industry
- Degree in Hospitality or relevant field
- Excellent verbal and written communication skills in English; proficiency in additional languages is a plus
- Outstanding organizational skills with a proven ability to multitask effectively
- Strong computer skills, including proficiency in Opera software
- Strong team player
- Keen attention to detail
- Provide accurate information about local attractions and services
- Knowledge of all the happenings occurring in the property
