W Costa Navarino, exclusively for adults and young adults over 12 years old, offers 226 stylish rooms, 2 bedroom suites and 3 bedroom villas with infinity private pools, staged in the Bay of Navarino with stunning Ionian Sea views, The Watersports Center, The Away Spa and gym with a heated 25m-long lap pool, including the new Navarino Agora, an open marketplace with retail, street food, open-air cinema and exciting programming throughout the day and night.

W Costa Navarino is looking for a Beverage & Food Office Coordinator. The selected candidate will support the seamless operation of the Food & Beverage department by managing administrative, operational, and promotional activities. Their mission will be to ensure that all internal processes run smoothly, enabling the team to deliver exceptional guest experiences while meeting revenue and operational goals.

Responsibilities

  • Have knowledge of the SCAN system and support colleagues with its use.
  • Provide general secretarial support to the culinary management team, handling calls and appointments.
  • Have knowledge of the daily culinary functions and assist with culinary projects when required.
  • Monitor BEO requests and inform relevant function owners regarding changes/requests.
  • Have knowledge of current reservation system and support colleagues with any challenges that might arise.
  • In charge of updating digital communication channels in reference to F&B operation.
  • Communicate guest complaints to F&B management team and/or Guest Relations department and follow up with any resolution required.
  • Follow all H&S rules, hotel policies, SOPs, and Brand Standards at all times. Guide and encourage team to do the same.
  • Attend all trainings and seminars provided by the company and continuously remain updated for all trends and market news
  • Supervise training cards completion for each department, ensuring all associates complete relevant training programs on time
  • Prepare, review, and distribute daily operational and performance reports for the B&F team
  • Oversee and process roster changes
  • Supervise clock-in/out records for all B&F departments, ensuring accuracy and compliance


Requirements

  • Fluent in English and Greek
  • Attention to detail in terms of content, spelling and grammar of written correspondence
  • Effective & immediate support on guest requests, ability to coordinate efficiently with different departments
  • Professional appearance & conduct
  • Excellent communication and interpersonal skills, and ability to integrate into all organizational levels
  • Excellent service skills
  • Proficient in office management tools and software, including Microsoft Office and scheduling platforms.
  • Basic understanding of Food & Beverage operations, service standards, and event management practices.
  • Exceptional organizational and multitasking skills, with a keen attention to detail and the ability to prioritize effectively.
  • Collaborative team player, working effectively with colleagues across all levels and departments to achieve common goals.
  • Adaptable and thrives in a fast-paced environment, able to quickly respond to changes and unforeseen challenges.
  • Ensures accuracy in all administrative tasks, reports, and documentation, maintaining high standards of quality.
  • Maintains confidentiality and handles sensitive information with discretion, in compliance with company policies and procedures.
