Costa Navarino is looking for a Groups & Events Coordinator at Costa Navarino (2025). The selected candidate will demonstrate a strong awareness of the importance of guest satisfaction by effectively collecting and sharing information related to group business across all hotel departments. He/She will collaborate closely with the Executive and Assistant Manager, handling daily tasks as part of a cohesive team and ensuring timely communication of essential details. The goal is to maximize performance in the role while upholding respect for both internal and external guests by adhering to hotel policies and standards.
Responsibilities
- Ensure that all the hotel systems are updated accurately and on time with the information provided by the group organizer (enquiries, room blocks, rooming lists, dinner schedule, flight details, arrival details etc.)
- Conducting the internal communication Banquet Event Order in a timely manner, including all the important information
- Prepare and distribute internal communications regarding groups, sharing essential details with hotel departments before arrival
- Support daily tasks in cooperation with the Executive and Assistant Manager
- Demonstrate knowledge and update in a timely manner all hotel systems (Opera, etc.), produce required reports when needed
- Prepare and maintain event files, including offers, rooming lists, dinner preferences etc.
- Maintain familiarity with all hotel services, event spaces, and available packages
- Welcome and acknowledge group organizer according to company standards; anticipate and address guests service needs; thank guests with genuine appreciation
- Handle any comments or complaints that might arise from group organizers
- Handle guest complaints in a professional manner and come up with solutions
- Communicate challenging situations accurately to responsible departments
- Handle daily email communication internally and externally related to the groups, providing accurate information about services, facilities etc.
- Handle the billing process by preparing invoices, having bill reviews, and finalizing the invoices by ensuring billing accuracy
- Follow all H&S rules, hotel policies, SOPs and Brand Standards at all times. Guide and encourage team to do the same
- Attend all trainings and seminars provided by the company and continuously remain updated for all trends and market news
- Liaise between the hotel and the Golf Department to ensure seamless communication and coordination
Requirements
- One year of experience as an Agent in the travel, tourism, or hotel service sector is preferred
- Bachelor’s Degree (BA/BSc) in Business or Hospitality Management
- Excellent command of the English language, both spoken and written; proficiency in at least one additional language is preferred
- Proficient in computer skills, including word processing, spreadsheets, and email, with familiarity in hotel systems such as Opera PMS preferred
- Strong communication skills, including verbal, listening, and writing abilities
- Strong organizational and administrative skills, with experience in office management
- Ability to multitask effectively and handle daily responsibilities
- Keen attention to detail and strong time management skills
- Confident and quick learner with strong problem-solving abilities
- Professional communication skills, both in-person and via email, with a focus on etiquette
- Ability to distribute information clearly, concisely, and in a well-organized manner
