Costa Navarino is in Messinia in the southwest Peloponnese, in one of the most unspoiled and breathtaking landscapes in the Mediterranean. W Costa Navarino, exclusively for adults and young adults over 12 years old, offers 226 stylish rooms, 2 bedroom suites and 3 bedroom villas with infinity private pools, staged in the Bay of Navarino with stunning Ionian Sea views, The Watersports Center, The Away Spa and gym with a heated 25m-long lap pool, including the new Navarino Agora, an open marketplace with retail, street food, open-air cinema and exciting programming throughout the day and night.

W Costa Navarino is looking for an Events Executive to support the coordination and execution of events by assisting with daily tasks and ensuring all details are accurately shared across hotel departments. The Events Executive plays a key role in maintaining guest satisfaction by ensuring that all event-related requirements are delivered smoothly and professionally. This is achieved through timely communication, accurate information handling and a consistent commitment to hotel policies and brand standards. The Events Executive must have attention to detail, strong organizational skills and a proactive mindset to complete tasks to the expected level. The ability to prioritize, multitask and work both independently and as part of a team is essential. This role includes direct client interaction, administrative responsibilities, while supporting the Groups & Events Manager in the planning and execution of all events.

Responsibilities

  • Support the Groups & Events Manager by updating hotel systems with accurate and timely information related to events.
  • Assist in coordinating internal communications for events, ensuring all departments are informed of guest needs and event details.
  • Help organize event materials, schedules, and set-up requirements based on client specifications.
  • Effective and constant communication with group organizers during the stay, including Welcome and farewell.
  • Responsible for the accurate daily check of an event folio, based on the contracted arrangements. Check for extra charges and follow relevant procedures (signatures, Opera Pay Master report etc.). Ensure billing accuracy and conducts bill reviews with the guests prior to processing the final bill.
  • Conduct site inspection for confirmed group booking according to hotel standards.
  • Provide support during site inspections, ensuring clients are familiar with event spaces and hotel services.
  • Handle any comments or complaints that might arise from group organizers effectively.
  • Assist in reviewing event charges, checking for accuracy and proper documentation in line with company procedures.
  • Demonstrate knowledge and update in a timely manner all hotel systems (GXP, Opera, etc). Produce required reports when needed.
  • Ensure the correct setup of meeting and event spaces in cooperation with operational teams.
  • Prepare and maintain event files, including contracts, menus, floorplans, and billing details.
  • Maintain familiarity with all hotel services, event spaces, and available packages.
  • Coordinate with all external suppliers and equipment providers to successfully deliver every event while promoting effective communication between all relevant parties.
  • Follow all H&S rules, hotel policies, SOPs and Brand Standards at all times. Guide and encourage team to do the same.
  • Maintain familiarity with all hotel services, event spaces, and available packages


Requirements

  • 2 years in Hospitality, event coordination, or guest service preferred
  • Bachelor’s Degree or Diploma in Hospitality, Event Management or related field preferred.
  • Strong verbal and written communication skills in English; knowledge of Greek or another language is a plus.
  • Strong communication skills (verbal, listening, writing)
  • Excellent organizational and administrative skills within office management experience.
  • Excellent time management.
  • Ability to multitask through daily tasks
  • Positive, proactive attitude and willingness to learn.
  • Basic proficiency in Microsoft Office (Word, Excel,
  • Outlook); knowledge of Opera PMS or other hotel systems is an advantage.
  • Team player with a customer-focused approach.
