The Front Office Support Officer provides operational and support services at the University’s front office. The role ensures the smooth operation of reception systems, the efficient service of students, staff and visitors, and the observance of organisational, safety and quality procedures within the reception area.
*Subject to meeting all regulatory and legal requirements in Cyprus and Greece.
Key Duties & Responsibilities
- Cooperates closely with the Campus and UNIC Health Director to continuously improve front office services and procedures.
- Manages the telephone switchboard, voicemail and email, responding promptly and providing accurate information.
- Operates meeting room booking software, as well as other reception-related information systems.
- Provides first-level technical support for front office equipment (printers, scanners, access control systems, information screens).
- Welcomes and registers visitors in the access systems, directing them safely to the appropriate university premises.
- Keeps up to date with the Daily Agenda of events and guides students and visitors accordingly.
- Receives, records and distributes incoming mail, parcels and courier deliveries, and prepares outgoing mail/shipments through the relevant platforms.
- Ensures that the reception area is clean, orderly, adequately supplied and compliant with health and safety standards.
- Supports the distribution and monitoring of access cards, keys and entry permits in cooperation with the Facilities Division.
- Handles student/staff requests or problems and refers them to the appropriate departments.
- Collaborates with other divisions (Facilities, IT, Administrative Services) to ensure the smooth functioning of first-line services.
- Performs various duties as assigned by the Campus and UNIC Health Director.
Qualifications & Skills
- Bachelor’s Degree or Diploma in a relevant field
- Previous experience in reception services, customer service or front-office operations.
- Good knowledge of telephony systems, visitor management tools and basic office equipment.
- Very good command of Greek and English language.
- Strong communication, organisational and teamwork skills, with emphasis on professionalism and service.
