Sales & Marketing Coordinator
This position is to be employed on the property. The reporting line is to the Managers of Sales & Marketing department of Central Services.
Key Responsibilities:
Sales & Events Tasks
Sales Coordination:
- Organize and conduct site inspections for prospective MICE clients provide detailed follow-ups, including professional outcome reports.
- Ensure the availability of sales kits for client visits and other promotional needs.
- Support, the Sales team on any other tasks needed.
Meetings – Incentives – Conferences – Events (M.I.C.E) Business Operations Coordination:
- Collaborate closely with clients to understand their vision for celebrations, meetings, and events, translating ideas into actionable plans.
- Follow up with the sales team to obtain or confirm event-related information promptly and accurately.
- Co-operate closely with the sales team for the organization of the MICE events, upon the confirmation till the execution.
- Provide operational and administrative support to ensure events align with both client and hotel objectives.
- Proactively identify opportunities to upsell additional hotel services during event planning, such as spa packages, upgraded accommodations, or premium F&B options.
- Prepare Banquet Event Orders (BEOs) in co-operation with the Sales person who handles the group and distribute them in a timely fashion to all relevant departments.
- Conduct pre-event meetings between the client and the hotel operation team to finalize all necessary details and the event flow.
- Coordinate with hotel departments (F&B, kitchen, operations) to ensure all event logistics, catering, and room setups are executed flawlessly.
- Communicate with external vendors (decorators, florists, photographers) to align on event requirements and timelines.
- Produce MEMO for internal operation of the MICE program.
- Tour, inspect, and monitor event venues to ensure readiness.
- Oversee on-site event execution, addressing any last-minute changes or challenges to ensure client satisfaction.
- Ensure client feedback is communicated to relevant departments for continuous improvement.
- Monitor and update the daily activity plan for the MICE program, ensuring all details are documented in the MEMO. Coordinate MICE operation – correspondence with external collaborators and internally with the relevant resort departments.
- Confirm daily charges with F&B and Front Office based on the agreement.
Communication, Administrative and Operational Support:
- Draft and manage professional correspondence, including proposals, forms, inter-departmental documents, and post-event thank-you emails.
- Maintain updated and accurate reports for event space bookings, group revenue, and other metrics using Excel or similar tools in co-operation with central sales.
- Facilitate clear and efficient communication between clients, sales team, and hotel departments to ensure alignment on event-related expectations and details.
- Ensure all related charges are posted by the hotel correctly and accepted by the client.
- Perform additional sales and event-related duties as assigned by the Senior Sales Manager.
Marketing Tasks:
Website/Webhotelier
- Update content with information that is related to the operation of the hotel (ie. Operating hours of the restaurant)
- Update with new photos and videos when applicable.
- Upload publicities and awards
Social Media
- Live content from the daily actions in the hotels
- Handle the Facebook & Instagram Inbox
OTA's- Metasearch channels (Booking, Expedia, Tripadvisor, Google My Business etc.
- Update content with information that is related to the operation of the hotel (ie. Operating hours of the restaurant)
- Update with new photos and videos when applicable.
- Upload publicities and awards
B2B Marketing Communications
- Accompany photo/video shootings
In-house events
- Create any collateral needed (create the brief towards the creative team)
- Photographic and/or video coverage of the events
- Event report (participants, flow), evaluation, conclusions, suggestions for
- improvement
- Event support in matters related to the operation of the hotel
Reputation Management (Currently for non TUI guests)
- Investigate the incident (negative review/ complaint, through offices or direct), discuss with hotel operation and prepare a reply.
- Create internal reputation presentation for the hotel teams.
- Questionnaires; Collect and analyze the data from the feedback of guests.
- Suggestions for improvement.
Operational In-House Materials & Signage (menus, rooms, posters, events, uniforms etc.)
- Collaborate directly with the Marketing department of the Central Services to develop graphic designs and copywriting content.
- Researching suppliers & get offers from suppliers (price and timings).
- Send the final artworks for printing and handle the process of production, deliverables & payments.
- Update materials with information/ photos that is related to the operation of the hotel (ie. Night Event posters, wellness program etc.)
Necessary Requirements:
- Studies in Marketing, or Tourism school or public relations or communication (not necessarily a degree)
- Proficient in English language
- Good written skills in Greek and English
- Excellent knowledge of MS Office, Social media, Outlook
- Politeness, positive attitude and team spirit
Desirable Requirements:
- Previous experience in hotel industry
- Knowledge of German language
