Costa Navarino is looking for a Cluster Talent Acquisition Coordinator. The selected candidate will provide essential support to the Talent Acquisition team, ensuring the smooth and timely execution of the recruitment process from start to finish. This role demands a person who is highly organized, detail-oriented, and comfortable working in a dynamic, fast-paced environment. The TA Coordinator plays a key part in delivering an exceptional candidate experience and supporting the attraction of top talent aligned with Costa Navarino’s standards of excellence.

Responsibilities

Coordination

  • Schedule interviews, phone screens, and other recruitment-related meetings between candidates and interviewers (hiring managers or TA team).
  • Serve as the primary point of contact for candidates, providing assistance and answering inquiries throughout the recruitment process, following up on applications.
  • Coordinate travel arrangements and accommodation for candidates or recruitment team when necessary.

Administrative Support

  • Maintain accurate and up-to-date records in the applicant tracking system (ATS) – Workable and other recruitment databases.
  • Collect relative recruitment expenses and prepare expense reports (Talent Acquisition team and student/associate expenses when they are related to recruitment).

Communication and Collaboration

  • Prepare job postings according to approved format.
  • Communicate effectively with hiring managers, TA team and candidates to provide updates and gather feedback.
  • Collaborate with internal departments, such as HR, IT, and facilities, to ensure a smooth recruitment process.
  • Assist with special projects and initiatives related to recruitment and talent acquisition.
  • Assist in the preparation of the next year’s Recruitment Plan by collecting primary data and doing secondary research.


Requirements

  • At least 1–2 years of experience in a recruitment or HR administrative role is preferred
  • Bachelor’s degree in Human Resources, Business Administration, Hospitality Management, or a related field is preferred
  • Strong written and verbal communication in English
  • Experience working in hospitality, tourism, or a similarly fast-paced environment is a plus
  • Experience coordinating interviews, managing schedules, and supporting hiring teams is a plus
  • Good knowledge of Microsoft Office Suite (Word, Excel, Outlook, Teams) Team collaboration and interpersonal skills
  • Prior use of Applicant Tracking Systems (ideally Workable) is advantageous
  • Familiarity with recruitment-related reporting and basic data analysis is a plus
  • Strong understanding of the recruitment process and candidate lifecycle is desirable
  • Organizational skills and attention to detail
  • Customer service approach with internal and external stakeholders
  • Time management and ability to handle multiple tasks simultaneously
  • Excellent scheduling and coordination skills
  • Problem-solving and solution-oriented mindset
  • Ability to manage confidential information with discretion
  • Flexibility and adaptability in a fast-paced environment
  • Proactive and self-motivated
