The Administrative Coordinator is responsible for supporting specific administrative functions of the company, including office procurement and supplier management, coordination of corporate meetings, management of corporate schedules, and organization of staff travel insurance.
The role also involves supporting contracts, invoices, and ESG initiatives, ensuring the smooth and efficient operation of the office. In addition, the position is responsible for organizing corporate events and representing the company at social and maritime industry events.
Job Description:
- Arrange for all office supplies in material & equipment
- Evaluate the suppliers of office consumables and courier companies
- Coordinate corporate meetings, schedule, and manage the availability of meeting rooms,
- Arrange travel insurance for all Superintendents and company personnel during business trips
- Manage claims processing and assist in the review and analysis of charter parties, ensuring accuracy and compliance with agreed contractual terms
- Review IMG contracts and invoices and liaise with the Accounting Department for their proper management and processing
- Support the company’s ESG initiatives
- Organize corporate events and oversee the company’s representation at social and maritime industry events, including handling communications, telephone follow-ups, cost control, and monitoring
Education, Key Skills & Competencies
- High level of personal integrity and confidentiality
- Professional demeanor and excellent communication and interpersonal skills
- Strong organizational skills and ability to manage multiple tasks
- Ability to coordinate across departments and manage priorities
- Bachelor’s Degree in Maritime Studies, Business Administration, or related field
- Excellent command of English, both written and spoken (Proficiency level / C2)
- Proficiency in MS Office and office management systems
- A minimum of 4 years in the shipping industry is required
