The Front Office Administrator serves as the first point of contact for visitors and partners, ensuring professional front-desk operations and supporting the company's administrative and operational functions. The role is essential in maintaining efficient communication flow between departments and supporting day-to-day business activities.
Job Description:
- Act as the primary point of contact for visitors, ensuring a professional and welcoming environment
- Welcoming visitors, ensuring reception and common areas are maintained in a professional condition
- Manage incoming calls, emails, and correspondence, directing them to the appropriate departments
- Handle incoming and outgoing mail and courier services, recording registered mail in logbooks, tracking courier deliveries, and maintaining general filing systems.
- Prepare shipments for all vessels, including supplies and required office documentation.
- Maintain office records, documentation, and filing systems, ensuring the timely updating of company records, including operational logbooks (Blue Books) and vessel noon reports.
- Provide comprehensive secretarial support to company departments and coordinate with internal teams
- Coordinate meetings, appointments, and conference room scheduling
- Arrange hotel accommodation and taxi transportation for crew members visiting our office.
- File all supplier invoices in accordance with the DANAOS system protocol for the Accounting Department

- Bachelor’s Degree in Business Administration, Economics, Business Studies or related field
- Excellent command of English, both written and spoken (Proficiency level / C2)
- Proficiency in MS Office and office management systems
- A minimum of 4 years of relevant experience is required
