Personal Assistant to the Managing Director / (HR & Administrative Support)


Role:

The Personal Assistant to the Managing Director with HR & Administrative Support provides executive-level assistance while supporting key HR and administrative functions. The role is responsible for managing the MD’s schedule, facilitating cross-departmental communication, and assisting with HR processes, including recruitment coordination and employee records. The position plays an important role in ensuring smooth daily operations, organizational efficiency, and confidentiality.

 

Job Description:

  • Provide high-level personal and administrative support to the Managing Director
  • Managing the MD’s calendar, meetings, and appointments
  • Coordinate internal and external communications on behalf of the Managing Director
  • Handle incoming correspondence, emails, and phone calls, ensuring proper follow-up
  • Organize travel arrangements, itineraries, and related logistics
  • Act as a liaison between the Managing Director and company departments
  • Prepare reports, presentations, correspondence, and confidential documents
  • Coordinate office administration activities and support operational workflow
  • Support HR-related functions, including recruitment coordination (job ads, CVs collection, arranging interviews with relevant office departments) and onboarding processes
  • HR review and management of employee contracts in a diagnostic center
  • Monitor and maintain staff attendance and leave records for all employees.
  • Assist in maintaining employee records and HR administrative documentation
  • Maintain confidentiality of sensitive company and personnel information

 

Education, Key Skills & Competencies

  • High level of personal integrity and confidentiality
  • Professional demeanor and excellent communication and interpersonal skills
  • Strong organizational skills and ability to manage multiple tasks
  • Ability to coordinate across departments and manage priorities
  • Bachelor’s Degree in Human Resources Management, Business Administration, or related field
  • Excellent command of English, both written and spoken (Proficiency level / C2)
  • Proficiency in MS Office and office management systems
  • A minimum of 4 years of relevant experience is required
