📍 Working Model: On-site
🕒 Working Days & Hours: Monday – Friday, 09:00 – 17:00
📄 Contract: 1-year contract with prospects of renewal
🖋️ Reporting to: Facilities Manager
What you will do:
In this role, you will ensure the smooth daily operation of the office by combining Reception and Back-Office responsibilities. You will serve as the first point of contact for visitors while providing administrative and operational support to internal teams.
More specifically:
- Welcome and assist office visitors in a professional and friendly manner
- Manage incoming calls and emails, ensuring proper communication
- Handle incoming and outgoing mail, packages, and deliveries
- Provide administrative support, including scheduling, document preparation, and file management
- Coordinate meetings, conferences, and support onsite events
- Assist with travel arrangements and expense submissions
- Support compliance and regulatory processes (e.g., sponsorships, donations, HCP-related activities)
- Liaise with facilities management to ensure a safe and efficient office environment
- Manage office supplies and support daily operational needs
- Collaborate with internal teams to support various administrative processes
What we are looking for:
- Bachelor’s degree in relevant studies will be considered an asset
- 1 year of experience in a similar role
- Proficiency in Microsoft Office Applications (Word, Excel, PowerPoint)
- Very good command of English, both written and spoken
- Strong verbal and written communication skills
- Well-developed organizational skills with strong attention to detail
- Ability to work effectively as part of a team to achieve company goals
- Positive, proactive attitude and adaptability to changing situations
