What you will do:
The ideal candidate will support administrative and logistics operations, ensuring efficient coordination of purchasing processes, supplier communication, and stock management activities. As an Administration & Logistics Responsible, you will play a key role in maintaining smooth daily operations and ensuring proper follow-up of administrative and logistics procedures.
More specifically:
- Register work orders and maintain accurate administrative records.
- Create and manage purchase orders in CAF ERP system.
- Coordinate purchasing of parts and consumables from the local market.
- Prepare and issue monthly closing reports related to administrative and logistics activities.
- Communicate directly with suppliers across Europe regarding parts repair and material deliveries.
- Monitor and manage processes related to administration and logistics ensuring proper follow-up.
- Conduct periodical stock control and inventory counting.
- Coordinate material deliveries within Europe, mainly parts sent to suppliers for repair.
- Ensure proper tracking and documentation of logistics and purchasing processes.
- Maintain communication with internal teams and external suppliers to ensure smooth operations.
- Ensure compliance with health and safety requirements.
- Monitor subcontractor technicians regarding safety procedures and report any accidents, near misses, or unsafe conditions.
What we are looking for:
- 3–5 years of experience in a similar administration or logistics role.
- Fluency in English (Spanish will be considered an advantage for communication with Spain).
- Good knowledge of Microsoft Office applications, especially Microsoft Excel.
- Strong organizational and communication skills.
- Ability to work independently and manage multiple processes simultaneously.
- Experience with forwarding or shipping processes within Europe will be considered an asset.
- Previous experience in the railway sector or familiarity with railway terminology will be considered a plus.
- Knowledge of the local supply network and experience working with local suppliers will be appreciated.
