Alumil, a leading manufacturer of architectural aluminium systems, is seeking a Front Desk & Administrative Officer to join our dynamic team.
Role Overview:
The Front Desk & Administrative Officer is the first point of contact for our clients and visitors, responsible for creating a welcoming atmosphere while also managing various administrative tasks that help streamline the office operations. This role combines customer service and administrative functions, ensuring smooth communication both internally and externally.
Additionally, as a vital part of the Human Resources team, this position will oversee the processing of employee expense claims and coordinate office and building maintenance at Efkarpia.
Main Responsibilities:
- Coordinate office administration and facility management activities, including vendor coordination (maintenance, cleaning, pest control) to ensure workplace safety and operational continuity.
- Manage switchboard operations and call center services, handling incoming calls and directing inquiries appropriately.
- Oversee mailroom operations, including incoming/outgoing courier services and internal mail distribution across company facilities.
- Provide front desk and visitor management services, ensuring professional reception support and meeting room coordination.
- Administer meeting room booking systems, ensuring room readiness, cleanliness, and scheduling accuracy.
- Support departments with document management services (printing, binding, lamination) and showroom appointment tracking.
- Prepare shipping documentation (proformas, delivery slips) in accordance with company procedures.
- Manage and reconcile petty cash transactions and maintain accurate financial records.
- Perform invoice registration and data entry in ERP systems (Atlantis/SAP) and coordinate supplier payment documentation.
- Process and monitor employee expense claims in compliance with internal policies and procedures.
- Support interdepartmental communication and daily operational coordination.
Requirements
- Bachelor's degree in Business Administration or a related field is preferred.
- Proven experience in a similar role, particularly in a front desk or administrative capacity.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent communication skills in both Greek and English.
- Strong organizational skills with the ability to manage multiple tasks effectively.
- Detail-oriented and proactive with a focus on providing exceptional customer service.
- Ability to work independently as well as collaboratively within a team.
- Knowledge of ERP software is a plus.
