Πλήρης απασχόλησηKYKLADES MARITIME CORPORATION seeks to employ a full-time Administrative Support for the Technical Department that will additionally act as a Receptionist.
This position is ideal for someone detail-oriented, professional, and comfortable in handling both front office and back office duties.
It is expected to spend eighty per cent of the role carrying out administrative support tasks and twenty per cent in reception duties.
Key Responsibilities Include
Reception
- Managing front desk and reception activities to ensure visitors are welcomed professionally, and the company presents a positive first impression
- Receiving, screening, and directing incoming telephone calls and emails to the appropriate personnel in a timely and professional manner
- Coordinating meeting room usage and appointments, including scheduling, availability tracking, and visitor arrangements
- Maintaining visitor records and access logs in accordance with company procedures
- Receiving, distributing, and dispatching incoming and outgoing mail and deliveries, ensuring timely handling and accurate routing
Administrative Support
- Assisting in checking and verifying invoices related to the Technical Department to confirm accuracy and completeness
- Verifying that invoices correspond to approved purchase orders, delivery notes, and internal authorisations before further processing
- Maintaining organised records of invoices and supporting documentation, ensuring traceability and ease of retrieval
- Communicating with internal departments and external suppliers to resolve invoice discrepancies or missing documentation
- Providing general administrative support to the Technical Department, including document handling, filing, and ad hoc clerical assistance as required
Requirements
- University degree or vocational studies in administration or accounting
- Proficiency in Office Suite
- Good written and verbal communication skills
- Good organisational skills and attentive to details
