ICAP Executive Search, on behalf of our client, a leading multinational group in the Oil & Gas industry, we are seeking to recruit a highly skilled and experienced Executive Assistant to a Global Business Unit Head based in Europe. The successful candidate, based in Athens, will act as a trusted partner, ensuring the effective management of priorities, seamless communication, and the smooth execution of day-to-day operations at a global level.
Executive Assistant (Ref.6015/EA/ESS/GR)
Key Responsibilities:
- Provide high-level administrative support, including calendar management, meeting scheduling, and coordination of complex travel arrangements.
- Prepare, review, and edit correspondence, reports, presentations, and other confidential documents with accuracy and attention to detail.
- Serve as the primary point of contact for internal and external stakeholders, ensuring timely and professional communication.
- Monitor and prioritize incoming requests (phone, emails, face-to-face etc.), ensuring the efficient allocation of time.
- Support the preparation and organization of internal and external meetings, client/external stakeholders’ relations activities, and other senior-level engagements.
- Conduct research and compile briefing materials to facilitate informed decision-making.
- Organize events.
- Handle sensitive information with the utmost discretion and confidentiality.
- Assist in planning, coordinating, and monitoring strategic initiatives and special projects.
- Handle family and private matters, such as travel arrangements, home affairs, family schedules and activities etc.
Qualifications:
- Proven experience as an Executive Assistant supporting C-level or senior executives, ideally in a multinational environment.
- Ability to work independently while exercising sound judgment and initiative.
- Exceptional organizational and time-management skills, with the ability to manage multiple priorities in a fast-paced environment.
- Strong communication and interpersonal skills, with attention to detail.
- High level of professionalism, integrity, and discretion.
- Proficiency in MS Office and other productivity tools.
- Fluency in English is required; good knowledge of French is strongly preferred.
