PharOS is seeking for an Administrative Assistant (R&D Dpt) as follows:
Administrative Assistant (R&D Dpt)
Role & Responsibilities
- Provides administrative Support on the R&D Division of the company pertaining to documentation, Photocopies, Printing etc.
- Provides full support in executing VISA Issuance for R&D Visitors.
- Obtains signatures (internal & external) and follows-up agreements/documentation until duly signed hard copies are received, scanned and archived followed by internal notification to the relevant parties. Provides general Support on the R&D personnel for executing their roles.
- Maintains the samples’ R&D warehouse in terms of digital tracker and physical storage
- Handles the R&D related samples and consumables either passing through PharOS offices/Warehouse/Storage Area or need to be coordinated from dispatch to recipient port (Docs, Data Loggers, keep sender and recipient updated).
- Welcomes and assists guests during visits of external parties throughout the R&D and the remaining company's departments when requested to do so.
- Is responsible for arranging the shipment and tracking of Clinical samples to and from manufacturing sites and/ or the CROs (shipment docs & Invoices, data loggers, isoboxes etc).
- Handles Reference Product photos used in all studies: Carton boxes, blisters, PILs & purchasing invoices
- Answers incoming calls and redirects them or keeps messages.
- Provides support to the general administration when necessary.
- Supports Accounting department on invoice characterization regarding R&D’s invoices.
Experience & Qualification
- Academic background in a relevant field
- Excellent English oral communication and writing skills, especially in business correspondence
- One (1) year of relevant experience, preferably within a well-established pharmaceutical company
- PC literacy (ERP, Word, Excel, PowerPoint etc.)
- Organizational skills, team working spirit
- Ability to work efficiently within cross-functional teams and deliver under specific deadlines
