kariera.gr's Hiring Solutions team is looking on behalf of a client, a company that operates in the food production industry, for a Personal Assistant to Major Shareholder.

The Personal Assistant will provide crucial support to the Major Shareholder, facilitating seamless operations across diverse businesses located in Greece, Latin America and other international regions. This role requires an adaptable individual with robust organizational skills, adeptness with cloud-based collaboration tools, and a multicultural understanding.

Responsibilities:

  • Organize and schedule meetings, appointments, and personal engagements across multiple time zones, ensuring no conflicts
  • Handle, prioritize, and filter all incoming and outgoing correspondence, including e-mails and phone calls
  • Arrange comprehensive travel itineraries, ensuring all required documents and logistics are in place
  • Plan and organize events for various businesses and personal occasions
  • Track and reconcile expenses across different businesses, reporting as necessary
  • Create, edit, and review documents, ensuring appropriate storage and organization
  • Serve as the primary contact point between the Major Shareholder and management teams, partners, and stakeholders
  • Establish and maintain a positive working relationship with the Greek team, ensuring you’re well-informed of the company’s ongoings and can act as a bridge between the Major Shareholder and the team during his absence

Requirements:

  • Bachelor's degree in Business Administration, Management, or a related field
  • 3+ years proven experience as an Executive Assistant, Personal Assistant or similar role. Familiarity with international trading industries is a plus.
  • Excellent verbal and written communications skills both in English and Greek language. Spanish is a plus but not mandatory
  • Proficiency in cloud-based collaboration tools and Microsoft Office Suite
  • Exceptional multitasking and prioritizing skills
  • Discretion and confidentiality

The role requires responsiveness to occasional issues during off-hours or weekends. Flexibility is essential due to varying time zones of businesses.
