Optimal, on behalf of its client, a leading company in the travel industry, is seeking an organized and detail-oriented Contracting Officer to join their Team.
Your Role as a Contracting Officer
You'll be the coordination point between our project teams and the accounting department, making sure that contracts, invoices, and payments flow smoothly through the system. The responsibility of this role is to keep contracting on track and transparent.
In this role, you will:
- Review and track contract terms from clients and suppliers, making sure payment schedules, cancellation policies, and key dates are clearly documented and understood by all parties.
- Act as the main contact between project managers and accounting, ensuring accurate and timely information flow.
- Prepare proforma invoices on time and track receivables and upcoming payments.
- Connect the dots between client agreements and commitments to suppliers, flagging any mismatches or potential issues.
- Maintain organized contract files and tracking spreadsheets, ensuring all payment terms, deadlines, and obligations are easily monitored.
What We're Looking For
We need someone who is naturally organized, comfortable with numbers, and good at keeping things running smoothly.
Essential Requirements:
- BSc degree in Finance, Business Administration, Accounting, or Tourism.
- 3+ years of experience in contract coordination, financial administration, or a similar support role (ideally in travel, tourism, or service industries).
- Financial understanding—you should be comfortable with terms like receivables, payment schedules, invoices, and how timing affects cash flow.
- Strong Microsoft Excel skills.
- Fluent English (written and spoken.

- You're great at reading contracts and understanding payment terms and obligations.
- You are able to connect client terms with supplier agreements and spot where these don't line up.
- You're detail-oriented and recognize vagueness in dates or terms that cause inefficiencies.
- You're organized and consistent, you can juggle multiple contracts and deadlines.
- You manage your time well and prioritize.
- You communicate clearly and can work with different teams and stakeholders.
