PeopleCert is looking for a Reception & Operations Support Assistant who is the first point of contact for all visitors and external stakeholders. This role ensures the smooth, professional, and efficient operation of the front office, while also providing day-to-day administrative and light procurement support to the Procurement Department. The ideal candidate combines excellent interpersonal and organizational skills with a hands-on, can-do attitude.

As a Reception & Operations Support Assistant, your tasks will include the following:

  • Welcome and professionally handle all visitors to the office (clients, suppliers, partners).
  • Manage all incoming and outgoing correspondence (post, couriers, deliveries).
  • Coordinate meeting room bookings and ensure meeting rooms and reception area are always maintained to high standards
  • Oversee courier services domestically and internationally, including tracking, troubleshooting, and issue resolution.
  • implement and comply with PEOPLECERT’s Quality Management Systems and internal personnel policies.
  • Support the Procurement team with operational procurement tasks as needed (e.g. follow-ups, vendor onboarding, etc).
  • Assist in invoice processing, data entry, and maintaining procurement-related records.

What we look for:

  • University Degree in Business Administration or a related field.
  • 1–2 years of experience in a receptionist or administrative role.
  • Exceptional command of the English language (native-like fluency or C2 level certification preferred). Certifications such as LanguageCert C2 LTE or C2 IESOL are a plus.
  • Advanced computer literacy is required. ECDL Advance level certification is desirable.
  • Well organized, self-driven, flexible and able to work in a high-volume, fast-paced, and deadline-driven environment.
  • Professional demeanor with excellent interpersonal and communication skills.
  • Ability to multitask and prioritize under pressure.
  • Client service-oriented approach and team spirit.
  • Strong attention to detail, time management, and problem-solving abilities.

Working on Home Office (HO) Secure English Language Tests (SELTs)

Any person who is engaged by PeopleCert to work on the SELT service must undergo a Background Check (the results of which must be acceptable to PeopleCert and the HO) prior to commencing their SELT duties. All SELT personnel will be required to complete a declaration (provided by PeopleCert) where the existence of any criminal record and/or bankruptcy must be declared.

If working on the SELT service in the UK, background checks will include:

  • A basic or enhanced Disclosure Barring Service (DBS) check
  • Right to Work in the UK check (including nationality, identity and place of residence)
  • HO security check (Baseline Personnel Security Standard (BPSS) or Counter Terrorist Check (CTC)
  • Financial background check
  • Employment reference check.
  • If working on the SELT service anywhere in the world (outside of the UK) personnel will undergo background checks that are equivalent to those stated for the UK.

In addition, if personnel are required to speak to SELT candidates they must be appropriately skilled in English language and, where SELT services are provided anywhere in the world (outside of the UK), the official language of the relevant country.
