We are actively seeking a highly experienced and strategic Groups & Events Manager on behalf of AIROTEL.
Airotel Group is a Greek Hotel Chain, created in 1984 and as per today it owns and manages 6 four-star hotels with a total number of 545 rooms in Athens, Patras and Kavala. Our company is currently in pursuit of a highly motivated Groups & Events Manager. The position is based all year round in Athens.

Responsibilities:
• Always demonstrating a pleasant and positive professional image.
• Always following the company’s internal policies as well as behavioral, grooming and personal hygiene Standards.
• Monitoring the attire and behavior of the department's staff as well as their compliance with all internal policies.
• Ensuring that all Standard Operating Procedures (SOP’s) are constantly followed and in the right way by all team members, aiming to achieve the highest guest satisfaction.
• Developing and writing proposals and contracts for potential clients.
• Communicating effectively with clients, colleagues and all vendors in preparation for events throughout both the planning and the execution phase of events. Providing guidance to all parties during each phase to ensure a seamless experience.
• Developing and maintaining strong relationships with clients, agents and suppliers to ensure a seamless experience during the event.
• Creating Event Orders and collaborating with all hotel departments to ensure that client’s requirements will be met according to company’s quality standards.
• Negotiating contracts with clients and suppliers to maintain profitability while delivering high quality events.
• Providing valuable feedback to the Sales team.
• Preparing reports and analyzing groups and banquet results to identify areas of optimization and improvement.
• Monitoring the budget and the results of coming months and communicate needs with sales to plan any corrective actions when needed.
• Contacting clients via telephone or e-mail for identifying customer needs and getting all required clarifications prior to responding to customer request (regarding availability/capacity, budget rates, etc) and informing them in writing.
• Conducting follow up calls to customer for offer feedback, once offer is received by the customer, either by phone or email and follow/update option dates.
• Drawing up of the contract with terms of payment and cancellation policy in case of confirmation of the offer by the customer.
• Discussing final details with the client, before drawing up the final program with the hotel (event order).
• Writing event orders with event times, break times, selected menus and hotel billing instructions.
• Making sure that the correct invoice is sent to the client after the event and following up if everything went well, through the client's feedback.
• Effectively managing customer complaints if any.
• Collaborating with other departments such as marketing, revenue, mice & corporate, hotel operations, to ensure alignment with the designed sales strategy and the quality standards we guarantee to our guests and partners.
• Preparing and analyzing sales reports related to sales activity, competition, forecasting, market and revenue growth.
• Coordinating all relevant group and/or event bookings/reservations, their changes and cancellations.
• Recruiting, training, and leading a high-performing groups and events sales team.
• Participating in FAM trips, site inspections, client visits and trade shows, relevant to banqueting and conference options.
• Participating actively in all departmental and interdepartmental meetings whenever necessary, in order to support an effective communication flow and enhance collaboration and decision making.
• Initiating effective meetings with his/her team to ensure alignment with goals and provide guidance.
Qualifications:
• Degree in Hospitality Management, Business Administration or related field.
• Minimum 3 years of experience in a relevant position in the Hospitality Industry.
• Proficient use of MS Office and relevant hotel PMS (Preferably Protel).
• Excellent written and verbal communication skills both in Greek and English language.GROUPS & BANQUET MANAGER JOB DESCRIPTION
