Sales and Groups Coordinator

Position Summary:
The Group Sales Coordinator is responsible for supporting the sales team by coordinating Group and corporate / MICE account reservations, room blocks, events and other administrative duties. Main tasks supporting Sales Managers with client liaison and general sales communication with hotel departments.
As a Group Sales Coordinator you are responsible to maintain effective communication on all group related matters to ensure smooth and efficient service delivery, whereby your role will include key responsibilities such as:
Scope:
- Reports to Sales & Marketing Manager
- Handle all incoming calls and emails related to MICE groups and Leisure Groups inquiries to ensure that all leads are addressed.
- Assess the requirements and the competition for each group lead before sending a proposal to the client.
- Analyze group requests, check the availability in the respective hotels, block rooms & space, prepare and send group quotations to all local and overseas Travel Agents / Corporate Accounts / DMC’s and Incentive houses.
- Ensure accurate and timely updates for the Group log and that all leads are tracked and followed up on.
- Upload all group room blocks and their event requirements in PMS and manage the groups till the handover to the property team at the phase of contracting.
- Actively take part in the departmental briefings, Sales Blitz, calls and Sales calls.
- Work with Director of Sales, Sales Managers, Finance, and other team members to ensure accurate data reporting internally and to the client.
- Distribute all documents correctly and on a timely basis to the client and necessary internal departments.
- Perform all administrative duties in a tidy, organized manner and help maintain sales office orderly at all times.
- Prepare and / or update written communications: memorandums, Group Resumes, event floorplans, maintain and create sales spreadsheets, sales letters, cover letters, thank you letters, mailings, collateral, ordering supplies etc.
- Ensure that all sales entries and changes are entered in PMS accurately.
- Prepare all necessary sales reports.
- Process all purchase orders and special requests.
- Upkeep and inventory of Sales Collateral (brochures, marketing materials and menus etc.).
- Set up and coordinate site inspections for Sales Manager with other departments and clients.
- Assist Sales Manager with daily office duties.
- Assist Sales Managers with prepping for tradeshows & sales trips.
- External liaison to hotel guests, corporate accounts, meeting planners and all sales clients.
Prerequisites:
- Degree / Diploma in Hospitality/Tourism or relevant
- Minimum two year of working experience in a similar role in the hospitality sector
- Proven experience in international hotel chains
- Excellent knowledge of English language, a second language will be considered as a plus
- Proficiency in Opera PMS is an asset
