The company offers the opportunity to those who wish to express interest in the position of “Document Controller | Διαχειριστής Εγγράφων”, for its premises in Chalkidiki. The position will be reported to the Asset Manager of the Asset Management department in Skouries.

Main Responsibilities:

  • Oversee system-wide governance of the Document Management System (Meridian DMS) and associated repositories (e.g., SharePoint).
  • Ensure adherence to the company’s document control standards, procedures, naming conventions, taxonomy, and classification requirements.
  • Maintain and update the master document control framework, including templates, metadata structures, workflows, and retention schedules.
  • Support departmental Document Administrators by providing guidance, training, troubleshooting, and best-practice advice.
  • Act as the liaison between departments, IT/system administrators, and compliance teams to drive continuous improvement.
  • Coordinate with third-party consultants and contractors to ensure correct submission, review, and approval of documents according to Skouries standards, and monitor compliance with contractor-submitted documentation, following up on late, incorrect, or incomplete submissions.
  • Maintain clear records of all externally supplied documents and ensure they are integrated correctly into the DMS.
  • Add and configure new document types, departments, user groups, and workflows based on business requirements, monitor document lifecycle activities (creation, review, approval, revision, archiving), and maintain control of document numbering, versioning, and classification logic, ensuring processes are executed correctly and on time.
  • Prepare and deliver reports on DMS performance, user activity, compliance rates, and process gaps.
  • Collaborate with IT and DMS system administrators to resolve system issues, support upgrades, and implement enhancements.
  • Participate in testing new features, workflows, and configurations prior to rollout.

Requirements:

  • Degree in Business Administration or related field.
  • Diploma or Degree in Information Management, Records Management is considered an advantage.
  • Formal training or certification in Document Control, Records Management, or DMS platforms (e.g., Meridian) is advantageous.
  • Additional training in Quality Management Systems (ISO 9001) is desirable.
  • Experience with Meridian or similar DMS platforms; familiarity with SharePoint.
  • At least 3 years’ experience in Document Control, Records Management, or Information Governance preferably in an industrial or mining environment.
  • Demonstrated experience in process governance, compliance monitoring, and audit facilitation.
  • Ability to read, understand, and manage technical documents, such as drawings, SOPs, and specifications.
  • Understanding of metadata, taxonomies, workflows, and classification logic.
  • Fluent in English, with strong written and verbal communication skills.
