That’s where you come in! We’re looking for an Administrative Assistant to join our G&A team and be the first point of contact for all our employees (and visitors). Also, you will be providing support and helping maintain a great office environment. Your main duties will include managing office supplies and maintenance, preparing regular reports (e.g. expenses and office budget), organizing company records, making travelling arrangements and providing support to our executive team. If you are tech savvy, fluent in English, have previous experience as an Office Administrator or similar role and love what you do, we’d love to meet you!

Responsibilities

  • Organize and schedule appointments
  • Assist in the preparation of regularly scheduled reports
  • Maintain our physical and electronic filing systems
  • Order office supplies and research new deals and suppliers
  • Book travel arrangements
  • Submit and reconcile expense reports
  • Provide general support to visitors
  • Track office G&A budget, ensure accurate and timely reporting
  • Address employees queries regarding office management issues
  • Liaise with facility management vendors, including cleaning, building maintenance and security services
  • Assist in planning in-house or off-site activities, like parties, celebrations and conferences
  • Provide support to our executive team as needed
  • Answer and direct phone calls

Requirements

  • Proven experience as an administrative assistant, office administrator or similar role
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Exceptional organizational skills
  • Tech savvy
  • Fluent in English
