PROCUREMENT MANAGER

 

Position Brief

The Procurement Manager ensures that the company's materials, products and services meet all of their specifications. The position holder is expected to manage the company’s sourcing capabilities and supply chain. The position holder is responsible for strategizing and negotiating with suppliers and vendors in order to acquire the most cost-effective deals and to reduce procurement expenses.

 

Duties

Include, but are not limited to:

  • Developing procurement strategies that are inventive and cost-effective.
  • Sourcing and engaging reliable suppliers and vendors.
  • Negotiating with suppliers and vendors to secure advantageous terms.
  • Reviewing existing contracts with suppliers and vendors to ensure on-going feasibility.
  • Building and maintaining long-term relationships with vendors and suppliers.
  • Approving purchase orders, organizing and confirming delivery of goods and services.
  • Performing risk assessments on potential contracts and agreements.
  • Controlling the procurement budget and promoting a culture of long-term saving on procurement costs.
  • Overseeing and managing the IT systems that track shipments, inventory, and the supply of goods.
  • Preparing procurement reports.
  • Liaising with internal project teams and maintaining strong supplier relations.
  • Evaluating products and suppliers according to key business criteria.
  • Monitoring supplier performance and resolving issues and concerns.
  • Analyzing industry and demand trends and supporting senior management with the development and implementation of sourcing strategies.
  • Complying with company policies, procedures, and regulatory standards.
  • Checks invoices for accuracy, and authorizes the accounts payable department to issue payment
  • Evaluates the performance of certain vendors in order to decide whether or not to continue buying from them
  • Oversees the F&B Controlling of the hotels
  • Oversees and provides directions to the hotel F&B controllers regarding local purchases
  • Ensures that stock levels at optimum levels
  • Oversees the inventory checks at the hotels and evaluates the results
  • Controls and supports the hotels in terms of inventory and cost management

 

Skills and abilities

  • Bachelor's degree in any Business related field
  • 6-8 years of experience in procurement and/or buying
  • Ability to work effectively both independently and as part of a team.
  • Experience using computers for a variety of tasks.
  • Competency in Microsoft applications including Word, Excel, and Outlook.
  • Ability to work on tight deadlines.
  • Very good knowledge of the English language

 

Desirable Qualifications  

  • Experience within the hospitality industry
  • Knowledge of a second language

 

Position Physical Requirements:    

  • The position has no physical requirements
  • Travel is required at 25% of time

  • At the Head Offices of the company in Athens
  • The position holder will be required to travel at the locations of the company

 

Span of control

  • The position reports to the General Manager
  • The position has 2 direct reports in the head office
  • The position has 6 indirect reports, the Hotel F&B Controllers
  • The position is operating as part of the finance department   
  • The position cooperates closely with all the departments and hotel general managers

 

Scope of employment

  • Full time
  • Indefinite contract
