ACS Athens, a student-centered international school, embracing American educational philosophy, principles, and values, is seeking to recruit an HR Coordinator.

That's why we need a top-class HR Coordinator to play a vital role in our team by offering top-notch people services and combining people's data insights into actionable information.

Overview 

The HR Coordinator is responsible for providing comprehensive support services in the Human Resources Department operations for achieving defined objectives effectively and efficiently. He/she is involved in planning, developing, implementing, assessing, and maintaining human resources processes. The HR Coordinator provides support in selection and recruitment, professional development, evaluation process development, IT projects, employee service/guidance and other daily functions.

Job Responsibilities:

1. Selection and Recruitment

  • Works closely with the Supervisor/Principals to create and update the job descriptions;
  • Maintains a database / library with all job descriptions;
  • Is responsible for the job posting;
  • Screens CV and reviews job applications;
  • Maintains an effective applicant tracking system;
  • Schedules interviews;
  • Establishes an effective communication with candidates;
  • Coordinates and is in communication with Supervisors/Principals concerning the selection process;
  • Prepares and delivers the job offers to the candidates.

2. Professional Development

  • Works with the Director of Services & Employee Development and the PD Coordinators (PD team and Dean of the Institute) to support and further develop the PD processes to reflect the school vision and include PD options for faculty, professionals, administrators, staff;
  • Works with PD team to convey PD process to school personnel for clear understanding;
  • Monitors and supports the PD application process and produces reports with key indicators;
  • Aligns with the Dean of Academics regarding PD content and structure during school allotted time;
  • Keeps detailed log of the PD activities and is responsible for the maintenance of a database containing records of PD initiatives;
  • Assesses the impact of each training session and recommends improvements;
  • Supports the delivery of the New Faculty Orientation and onboarding training;
  • Supports the delivery of delivery of the New Colleagues Program (mentorship program);
  • Provides event and logistical support with training and engagement activities.

3. Faculty/ administrator/staff evaluation development

  • Supports the full instructional and non-instructional staff evaluation processes;
  • Keeps updated file;
  • Analyzes the data and produces reports.

4. Technology

  • Coordinates the IT related projects;
  • Updates and maintains skyward as the HRMS system;
  • Organizes and coordinates the digitization of HR files and processes;
  • Performs data analysis and produces data mining reports;
  • Assess current processes and proposes effective/efficient solutions;

5. Administration

  • Provides excellent customer service by responding to inquiries from instructional and non-instructional staff and administrators as appropriate, directing employees to the appropriate contact as needed;
  • Support the existing HR processes and more specifically daily contracts, FTEs planning, contract approval, time management and private medical insurance;
  • Maintaining personnel files and records;
  • Retrieving, organizing, and compiling data as requested; routinely auditing data for accuracy; running reports as needed;
  • Assess needs, develop, prepare, and continuously improve HR reports, dashboards, and analytics to facilitate effective decision making;
  • Collect and compile HR metrics from various sources, such as end of year evaluations, professional development plans, employment records, government labor statistics, and other sources;
  • Use and review tools for analyzing people data, creating models, and proposing changes/ improvements;
  • Ensure that data quality is accurate, consistent, and auditable;
  • Handle confidential data, evaluating which tools/environment is most suitable for analysis based on the implications of the data;
  • Other duties as may be assigned.

Skills and Abilities:

  • Ability to establish and maintain productive working relationships with staff, business associates, and wider community;
  • Ability to work on multiple tasks and prioritize appropriately;
  • Ability to recognize areas of concern relating to human resources issues and propose or recommend appropriate solutions to problems;
  • Ability to communicate effectively;
  • Ability to exercise initiative and make independent decisions to reschedule work to meet deadlines or to effectively handle emergency work;
  • Knowledgeable about technology applications, HRMS systems and applicant tracking systems.

Professional Qualifications:

  • MA in Human Resources Management/Business;
  • BA in Psychology/Business Management or related field;
  • Minimum 5 years of experience in HR;
  • Fluency in written and oral English and Greek;
  • Knowledgeable about contract negotiations, labor unions, federal/state regulations;
  • Demonstrated knowledge and application of effective human resources principles, practices, and trends.
