Reservations & Concierge Agent
As a Reservations & Concierge Agent, you will play a crucial role in creating memorable experiences for our guests. You will be the first point of contact for guests, assisting them with reservations, inquiries, and personalized concierge services for our 4* hotel and four aparthotels in Athens. Your attention to detail, communication skills, and passion for hospitality will ensure that every guest receives the highest level of service.
Main Responsibilities
- Manage guest reservation requests via telephone, email, and reservation platforms, ensuring accuracy and timeliness.
- Handle invoicing, guest payment transactions, and monitor commissions from OTAs (Online Travel Agencies).
- Provide comprehensive concierge services, offering information about amenities and facilitating extra services for guests.
- Respond promptly and courteously to all guest inquiries and requests before, during, and after their stay through multiple communication channels (telephone, extranets, SMS/WhatsApp, email), consistently delivering excellent customer service.
- Address all guest complaints effectively, providing appropriate solutions to ensure guest satisfaction.
- Coordinate arrival lists, managing arrival times, rates, and other relevant details from the day before guest arrival until check-in.
- Manage external systems such as the channel manager, Property Management System (PMS), and OTAs extranets.
- Support the Sales and Revenue Manager in pre-opening activities for new hotels, including contracting, creating, registering, and maintaining rate codes and policies, as well as setting up OTAs.
- Ensure accuracy in booking information entered into the PMS, maintain guest history records accurately, and pre-register recurring guests.
- Foster seamless communication with other departments (Sales, Revenue, Operations, Finance) to ensure a cohesive service experience for our guests.
Requirements
- Minimum of 2 years of experience in Reservations Management within the hotel or hospitality industry.
- Bachelor's degree in Hospitality Management or a related field.
- Exceptional written and verbal communication skills in English, demonstrating clarity and professionalism.
- Proficiency in the Microsoft Office suite.
- Strong grasp of hotel distribution systems, including Property Management Systems (PMS), CM, and Booking Engines.
- Effective problem-solving abilities and the capability to handle multiple tasks simultaneously.
- Willingness and availability to work flexible shifts, including mornings, evenings, and weekends to meet operational needs.
