Personal Assistant to the CEO

Position Summary: As the Personal Assistant to the CEO, you will play a critical role in facilitating the CEO's effectiveness and productivity. You will be responsible for managing the CEO's schedule, coordinating meetings, and handling administrative tasks to ensure the CEO's time is optimized for strategic decision-making and business development.

Key Responsibilities:

Calendar Management: Manage and maintain the CEO's calendar, ensuring all appointments and commitments are scheduled efficiently.

Meeting Coordination: Arrange and coordinate meetings, conferences, and travel arrangements for the CEO. Prepare meeting agendas and documents as necessary.

Communication: Serve as the primary point of contact between the CEO and internal and external stakeholders. Manage and prioritize emails, phone calls, and messages, responding or redirecting as necessary.

Documentation and Reporting: Prepare, edit, and proofread documents, reports, and presentations for the CEO. Maintain a system for document organization and retrieval.

Travel Management: Arrange travel itineraries, accommodations, and transportation for business trips. Ensure all travel details are meticulously organized and accounted for.

Task Management: Assist in tracking the CEO's tasks, projects, and action items. Help ensure follow-up and completion of important tasks and deadlines.

Confidentiality: Handle sensitive and confidential information with the utmost discretion and professionalism.

Research and Information Gathering: Conduct research on various topics and provide summaries and briefings to the CEO as needed.

Supporting Special Projects: Collaborate with the CEO on special projects, initiatives, and tasks that contribute to the company's strategic goals.

 Ad Hoc Support: Be prepared to handle unexpected requests and changes in the CEO's schedule or priorities.

 

Qualifications:

Bachelor's degree or equivalent experience.

Proven experience as an executive assistant or personal assistant to senior leadership, ideally supporting a CEO or top-level executive.

Exceptional organizational and time management skills.

Strong written and verbal communication skills.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Discretion and the ability to maintain confidentiality.

Ability to work independently, adapt to changing priorities, and handle a fast-paced environment.

Excellent problem-solving skills and attention to detail.
