Administrative Officer

Qualimetrix S.A. is a third-party Contract Laboratory Organization, established in 2013 and located in Athens, that provides analytical services to the pharmaceutical industry.

QualiMetrix is focused on supporting pharmaceutical products throughout their whole lifecycle; from the development of the product to the manufacturing and post marketing stages. Services range from routine to highly complex projects; with full support given to the regulatory requirements and research challenges; and operations consistently taking place in an environment of Good Laboratory (GLP) and Good Manufacturing Practices (GMP). In the frame of its activities, Qualimetrix S.A. is recruiting an Administrative Officer.

 

Main Responsibilities:

  • Answers all reception calls and takes messages
  • Handles the company’s correspondence (intra-company included)
  • Manages reception and facilitates company’s guests visits
  • Arranges appointments with clients, interview candidates etc. and maintains the meeting room schedule
  • Schedules and assists meetings by creating agendas and, if necessary, by minutes recording
  • Types, photocopies, scans, binds various documents on behalf of others
  • Maintains office supplies inventory and checks stock
  • Creates and maintains filing systems
  • Arranges courier services and handles all incoming deliveries and outgoing shipments along with the relevant documentation
  • Informs personnel for company’s related issues as instructed by the upper management
  • Organizes business travels (booking rooms, tickets, conference facilities etc.)
  • Arranges accommodation and/or transportation for visitors of the company
  • Assists and/or arranges corporate events
  • Provides administrative support for other departments (if necessary)
  • Contributes to accounting and procurement routine activities
  • Maintains the company’s facility management supplies stock

Education requirements:

  • Good knowledge of the English language (CEFR Level B2)
  • Excellent knowledge of office management software (MS Office etc.)
  • Degree in Office Administration or relevant field from Technological Education Institute (T.E.I. or I.E.K.). (optional)

 

Work Experience & Other Requirements:  

  • Experience in Administrative positions, for at least 2 years (preferred).
  • Ability to handle multiple priorities
  • Team-work
