JOB DESCRIPTION on behalf of its client, is looking for an experienced Administration Manager to supervise daily support operations of our client and plan the most efficient administrative procedures. 
A great administration manager has excellent communication and organizational skills. The ideal candidate will be well-versed in departmental procedures and policies and will be able to actively discover new ways to do the job more efficiently. The goal is to ensure all support activities are carried on efficiently and effectively to allow the other operations to function properly.

Job Description:

  • Monitor and Compliance of the Company Personnel Regulation
  • Keeping a registry and staff records
  • Overall management of procedures related to the personnel's administrative affairs (recruitment, redundancies, personal and family status, developments, fees, licenses, absences, disciplinary, etc.)
  • Updating the accounting system with all the necessary personnel information necessary to determine its remuneration
  • Manage all necessary payrolls, statements of insurance funds, taxes and other obligations
  • The validation of all copies of documents through the secretariats 
  • Managing the processes of registering all types of incoming documents, distributing them to the appropriate services and handling - sending all the documents to the recipients
  • Guarding and cleaning of the headquarters, maintenance and operation of the call center - in operational level - as well as the auxiliary personnel and cars
  • Designs and implements office systems, layout and supply of equipment
  • Draws up and proposes to the Management the budget of the department and is committed to its implementation 
  • Approves funds for necessary materials and repairs
  • Informs management with the examination and analysis of special reports, trend recognition and summary information
  • Improves the efficiency and effectiveness of office functions.
  • Suggest changes to structures (Organizational chart, policies, procedures).
  • Has a leading role in the assessment of performance, quality systems and evaluation through performance indicators
  • Designs, publishes and distributes policies and manuals for company staff

Specifically in terms of Human Resources:

  • Proposes, improves, finalizes, publishes and manages all staff policies
  • Prepares, proposes and maintains records and procedures for controlling them
  • Staff cases and compiles and submits reports (confidential and non-confidential) with staff data
  • Serves as responsible for equal opportunities employment programs and compliance with health and safety at work provisions and positive action plan (if provided)
  • Supervises performance evaluation programs as well as the process of joining new staff
  • Collaborates with the managers of other departments for staff training needs
  • Adheres to a positive staff recruitment program and carries out all the evidence of new recruitment and change of work status
  • Carries out surveys on employee remuneration and benefits.
  • Responsible for the implementation of a Human Resources Information System that meets the needs of senior management
  • Propose effective and efficient plans for organizational structures and development to match strategic objectives. It contributes to the achievement of corporate goals through the implementation of Human Resources objectives.
  • Performance and disciplinary content and contract termination procedures
  • Collaborates with executive and staff selection companies


  • BA in Law, Business Administration, Political or Economic Sciences, Public Administration or other equivalent subject
  • MSc in a Business Administration/management subject
  • At least 6 years of working experience in a Managerial administration role, preferably in a multinational company
  • Strong demonstrable working experience in project administration responsibilities. Proven experience in financial/ budgeting issues is mandatory
  • Proven working experience in HR administration responsibilities for at least 3 years, with proven record. Ideally experience in organizational charts, recruitment projection, performance evaluation processes, management and recording contract expirations
  • Excellent skills in surveys management and data analysis 
  • Excellent knowledge of English. Good knowledge of a second language will be consider as a plus
